Currently, the enrollment report includes course access information, counts, and access times. However, due to rapid data growth in our database, potential issues may arise. To mitigate this, older data will be archived to cold storage in S3, thereby limiting the historical access data available in the enrollment report based on account size.

Definition of Account Size:

– Large Accounts: Enrollment counts exceeding 5 million.

Archival Process:

– For large accounts, live data will be available for 6 months (184 days), while for other accounts, it will be available for 15 months (458 days).
– A quarterly archival cron job will generate one file per quarter, storing it in S3.
– For large accounts, data from the current quarter minus two quarters will be archived, and data from the current quarter minus three quarters will be deleted.
– For normal accounts, data from the current quarter minus five quarters will be archived, and data from the current quarter minus six quarters will be deleted.

Retrieval of Archived Data:

– A new user interface flow will facilitate the download of archived reports. Archived files stored in S3 will be read during report generation, with user and course metadata attached. Subsequently, a new file will be generated and sent to the user via notification.

Change in Behavior:

– The course enrollment report will no longer contain complete historical data.
– Archived reports will be at the course level, and access information for learning paths (LPs) and certifications will be lost.
– LP and certification data cannot be stored in cold storage due to potential inaccuracies resulting from changes in sub-LO combinations.
