Captivate Quick Tips #3 – Importing and Exporting Preferences

If you need to use the same preferences for every project, or maybe different prefferences for different types of projects, you’re in luck with the time saving tip.

You are able to export and import preferences within Captivate.

Step 1 – Saving Preferences

To create the desired preferences, find the ‘Edit’ menu on the top left of your screen and select ‘Preferences’ at the bottom of the menu.

Here you are able to set the specific preferences of your choice that match the needs of your project and organisation’s standards. This is great if you have multiple clients with different needs within their preferences’.

When you have finsihed with selecting your pereferences click the ‘OK’ button and the dialogue box will close.

Step 2 – Exporting 

Now you’re ready to export your preferences.

To do this Select the ‘File’ menu in the top left and then select ‘Export’.

Chose a location to save your preferences file and you could call each one by their name e.g. Management Training Perefences File as an example.

Step 3 – Importing

Let’s say you have to switch between projects and you need to import your preferences file for the Management Training course.

To do this select the ‘File’ menu and select ‘Import’.

Find the location of where you saved your pereferences file and select ‘Open’.

You now have the same preferences for your specific needs.

Please always double check to make sure everything has been imported how you want it. Some settings might not get imported, but it will be a big time saver to keep your preferences the same.

Wow, this tip would have saved me a great deal of time and cut down on a lot of chance for error if I had seen this a few months ago. I’ve just finished assembling a series of 54 course assessments which had the same very particular Quiz Settings for use in a LMS. Probably 20 or more clicks to establish prefs for each one. I just tested your technique and confirm that it successfully establishes all the Quiz Reporting settings one has exported.

Hi Douglas, glad you found this useful. That sound like a hell of project. I’m going to start posting some more tips soon as well.

Maybe another add-on comment? I will rarely use the import/export Preferences myself because I always start with a custom theme. Moreover for general settings which I always use, I will set the Preferences before opening a project, they’ll be valid for all future projects until I change those Preferences again. Just another work flow, fitting in with this tip.
